General Statement of Duties

The primary responsibility is achievement of a high degree of customer satisfaction by serving as a catalyst and expediter in meeting customer expectations on behalf of the Board of Education. Serves as the ambassador for the District Central Office. Reports to Assistant Director Human Resources BOE or designee.

Preference will be given to current Town of Greenwich/BOE employees who are members of GMEA Union.


Qualifications

REQUIRED EDUCATION & EXPERIENCE:
Graduation from High School plus three (3) years recent (within the last 5 years) professional customer service experience with an emphasis on technology. Associate degree preferred. Oral and written proficiency in English and Spanish is required.

SPECIAL NECESSARY REQUIREMENT:
Ability to act as Notary Public, or obtain credentials within the first 6 months of appointment in the position.

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:
Considerable knowledge of general customer service principles and practices.

Considerable knowledge of District policies and procedures.

Skilled in the operation of a personal computer and related computer software; proficient in the Microsoft Office Suite (Word, Excel, Powerpoint).

Must possess the core competencies of strong verbal, listening and written communication skills, adapt at problem analysis and problem solving, and a strong belief in the value of teamwork.

Demonstrated oral and written proficiency in English and Spanish.

Demonstrated ability to maintain confidentiality with respect to sensitive employee information.

Ability to work effectively, as well as deal tactfully and courteously, with the general public and employees; ability to maintain composure under duress when dealing with complaints.

Ability to compose correspondence, maintains complex clerical records, prepare reports from records and format statistical reports for presentation.

Ability to make routine decisions in accordance with laws, ordinances, regulations and departmental policies and procedures and to maintain confidential information.

Ability to work independently with minimal supervision.

Job Description

ESSENTIAL FEATURES:

Provides first line customer service for requests from walk-in customers, callers, electronic and written mail correspondence and the internet; applies independent judgment in resolving Board of Education related problems and issues.

Serves as a focal point for customer service issues, communicating with parents, employees, vendors and the general public to obtain accurate information, performs research and provide answers if available, or engages and directs issues to appropriate staff for resolution if necessary.

Books conference room reservations for Board of Education business, and coordinates equipment, logistics and refreshments for meetings; maintains reservation schedule for conference rooms.

Performs general clerical duties such as answering the phone, filing, collating, preparing and distributing large mailings, copying, scanning, and general office help as needed.

Performs complex data entry, creates complex spreadsheets, and prepares routine correspondence, emails, reports, letters and documents such as standardized forms and reports.

Performs special projects or related work as required.


Supplemental Information

All positions may be subject to an interview process. The Town reserves the right to limit the number of qualified candidates who will be invited to participate in the examination, or any part thereof.

All outside candidates will be required to undertake and successfully pass a pre-employment medical examination, which includes a substance abuse test, given at the Town's expense prior to employment if conditionally offered a part time, full time or safety sensitive position.

The Town of Greenwich has implemented a policy of background investigations all full and part time positions positions prior to hiring as part of the reference checking procedures for outside candidates. The investigation will only be conducted as the last step prior to an offer. Refusal to sign the release form will terminate the candidate's further consideration. All new hires at the Board of Education will also be subject to a background check in compliance with CT Public Act 16-67.
