Position Description

Directs, plans, coordinates and supervises the operations and activities of a specialized unit or small department; develops and implements policies and procedures, administers the budget, organizes tasks and sets priorities. Serves as liaison with university personnel and community at large. Works under general supervision with broad latitude for initiative and independent judgement.

Major/Essential Functions

• Develop the strategy and oversee the execution of TTU Office of Advancement events with a major focus on principal events and campaign events.
• Develop concepts, themes, and formats for events that engage supporters, increase brand awareness and grow donor affinity.
• Work with advancement communications and marketing to develop content for event correspondence and collateral material, as well as content for social and web, if necessary.
• Manage a budget and use resources efficiently – negotiate rates with venues, contractors and vendors and procure the event-related materials following TTU policies and procedures.
• Prepare leadership with personalized talking points based on the donor's giving record.
• Oversee the entire event process from set up to tear down and manage contractors and vendors to ensure logistics are coordinated.
• Coordinate post-event follow up to include but not limited to internal debrief meetings, internal and external recognition, and reporting.
• Collaborate with the college and unit-based advancement and donor relations teams, TTU President’s Office, TTUS Institutional Advancement and TTUS Chancellor’s Office to ensure alignment and representation at each event.
• Serve as a liaison with Texas Tech University System Institutional Advancement, colleges/units, and other areas across campus on establishing and following the process for initiating and carrying out philanthropic events.
• Create, add, monitor and manage event registration pages and approved payment methods on the TTU Office of Advancement website and ensure event attendance is reflected in the database of record.

Organized and detail oriented; excellent relationship management and ability to work with high-level university officials and donors; possess ability to deal with information of a confidential nature; self-motivated with ability to take initiative on projects and assignments; work collaboratively as a team; excellent communication skills; must be able to multi-task, as well as prioritize workload; flexibility to work nights and weekends.

Qualifications

Required Qualifications

Bachelor's degree in related area required plus five years progressively responsible management experience. Additional education may substitute for experience on a year for year basis.

Skills Preferred

Preferred Qualifications

Three years experience in event planning and working with high profile donors and alumni.
Knowledge of TTU procurement and event related policies and procedures.
