Education: Required – High School Diploma, or equivalent
Preferred – 2-year associate degree from accredited program/institution, or two or more years of college-level course work
Experience: Required – 1-year related experience and/or training
Preferred – 2 plus years related experience and/or training.
Supervises: None
Summary: The Clerk (Clerk III) provides general clerical support to Logistics, Food Services/ National School Lunch Program and Maintenance Departments.

Essential Functions:
1. Maintain a comprehensive filing system and be able to locate and retrieve information from files as directed.
2. Manage program administration using the BCFS requisition system including tracking of receipts and invoices; vendor contact information and contractor and supplier files.
3. Generate general correspondence, memorandums, and department records.
4. Record and maintain departmental and facility reports for the Regional Logistics Director as requested.
5. Maintain comprehensive inventory control system in support of Logistics, Food Services/National School Lunch Program and Maintenance Departments.
6. Meet all pre-determined deadlines required by program and federal partners.
7. Communicate effectively in writing and verbally in English and Spanish
Measurable Deliverables:
1. Meet all federal and state regulatory guidelines and standards that are applicable to this position.
2. Maintain all contractor records and bookkeeping data efficiently and appropriately.
3. Generate weekly work order reports, including completed, in progress and overdue assignments.
4. Maintain a filing and tracking system for building inspection records.
5. Create and submit purchase requisitions, receipts, and invoices in accordance with BCFS timeline requirements.
6. Maintain purchase order logs.
7. Create and submit travel and expense reports in accordance with BCFS timeline requirements.
8. Participate in scheduled meetings, team decisions and operations.
9. Implement BCFS safety protocols including evacuating with children and other staff in case of an emergency.
10. Work evenings, weekends and holidays as needed and as requested by the supervisor.
11. Maintain confidentiality in all areas of the child and program operations.
12. Maintain BCFS HHS professional and ethical standards of conduct outlined in BCFS employee handbook including demonstrating respect for agency staff, children, and community members and complying with required dress code at al times.
Credentials, Skills and Abilities:
1. Maintain current licenses and certificates required for the position including but not limited to: First Aid CPR Emergency Behavior Intervention Other:
2. Pass a pre-employment drug screen and random drug screens throughout employment.
3. Provide proof of work eligibility status upon request.
4. Pass a pre-employment and biennial criminal background checks.
5. Demonstrate the ability to:
a. Respond sensitively and competently to the service population’s cultural and socio-economic characteristics
b. Work collaboratively with other staff members, service providers and professionals
c. Communicate effectively in writing and verbally in English (and Spanish strongly preferred).
d. Read, analyze, and interpret policy manuals and documents
e. Work in a fast-paced environment and always maintain emotional control and professional composure
f. Maintain computer literacy required to meet responsibilities of the position.
g. Organize and plan work.
h. Work effectively and without intensive supervision both independently and as a member of a multidisciplinary team
6. Demonstrate a working knowledge of Residential Services policies and procedures.
