Description

The Arizona Animal Welfare League & SPCA (AAWL & SPCA) – the largest and oldest no-kill shelter in Arizona – is seeking Practice Manager who plans, organizes, and directs all day-to-day activities at two on-site clinics – our AAWL Shelter Clinic (serving homeless pets) and low-cost AAWL Community Veterinary Clinic (serving low-income pet owners).

The Practice Manager will serve as an integral part of our medical team, possessing both strong business acumen and people management skills.  The Practice Manager will be responsible for developing or updating daily processes for greater efficiency and facilitating improvements to help meet medical goals at both clinics. 

Duties include: hiring, onboarding, mentoring and supervising clinic staff, overseeing the recruitment and scheduling of relief veterinarians, monitoring medical-related performance indicators to assess how we’re saving animals’ lives, creating a positive workplace culture based on organizational values and goals, assisting with the tracking of grant funds and execution of grant deliverables, and managing the Shelter/Community Vet Clinic budgets.

We are looking for Practice Manager who is a strong communicator who thrives on building collaborative teams. Key attributes include having a learning mindset, being solutions oriented, maintaining humility, and fostering positive and actionable feedback to staff.  In addition, a successful Practice Manager will have experience implementing strategic plans.

The Practice Manager directly supervises three lead vet techs, including an infirmary tech, community vet clinic tech, and shelter tech, and handles all of the recruitment and scheduling for a team of 13 relief veterinarians. In addition, the Practice Manager supports vet tech leads in their functional supervision duties, assisting with accountability conversations and development plans.  The Practice Manager reports to the President/CEO and works full-time.  This is an exempt position.  Department is staffed 7 days a week from 7am to 6:30pm; while there is scheduling flexibility within those hours this is a 5 day per week position that does require one Saturday month for AAWL’s scheduled vaccine clinic.

 

RESPONSIBILITIES

  • Plans and organizes all personnel activities, including developing and updating job descriptions, hiring/orientation/onboarding/training staff and coordinating regular performance reviews.
  • In consultation with President/CEO, sets and periodically reviews salaries and benefits.
  • Ensures proper training of staff and team building for all staff.
  • Works with the lead vet techs to take an active role in vet tech and organizational meetings, promoting teamwork and cross-departmental collaboration.
  • Resolves problems related to the facility and resolves staff concerns or interpersonal staff issues.
  • Ensures proper procedures are in place for animal handling, disease control, and patient care.
  • Supervision of medical supplies ordering, inventory management and audits.
  • Ensures Standard Operating Procedures are followed and updated as needed.
  • Ensures both clinics have proper working equipment and supplies and that they’re in compliance of all regulations and codes.
  • Works with the Finance Director and President/CEO to monitor budgets and monthly financial statements.
  • Ensures complete and accurate records exist for all patients, including rabies certificates, go-home paperwork, and medical records.
  • Works with lead vet tech for AAWL’s community vet clinic to oversee booking schedule through HIPPO veterinary scheduling software and ensures proper number of animals are booked daily. Develops a plan for dealing with no shows.
  • Supervises usage of practice software (Pet Point and Hippo) to ensure that client/patient records are entered consistently and correctly.
  • Monitors and reports on accounts payable and receivable, and ensures accurate tracking of expendable grant funds.
  • Designs and administers safety and security regulations and training.
  • Work with vet tech lead for AAWL’s community vet clinic to run template/custom reports using HIPPO to assess clinic volume and capacity for care based on staffing levels, set daily goals related to # of patients seen and keep track of declined surgeries, no-shows, and A/R.
  • Other duties as assigned by management.

    COMPENSATION AND BENEFITS

    The starting salary for this position is $67,300 D.O.E. AAWL offers compensation that is commensurate with experience and competitive with non-profit and animal welfare salaries. Qualifications

QUALIFICATIONS

  • Bachelor’s degree in a healthcare or related field and a minimum of three (3) years’ managing others in a clinical setting (veterinary, imaging, Urgent Care, medical clinic etc.) Combination of experience and education will be considered as well.
  • Minimum of three (3) plus years’ experience in management, and/or a combination of community human/veterinary health programs development and leadership roles.
  • Work with veterinary premise license holder to oversee regulatory compliance i.e., local, county, state, federal, OSHA, DEA, etc.
  • Experience in servant leadership model; demonstrated ability to gain trust through effective communication, follow up/through, and leading by example.
  • Ability to counsel/mentor/develop medical team members and work collaboratively with both medical (veterinarians, veterinary technicians, and outside specialists) and non-medical (volunteers and fosters caring for animals under medical supervision) in a busy and complex environment using tact and diplomacy.
  • Possess ability to effectively address and resolve issues within appropriate timeframes.
  • Collaborate with other staff and organizational leadership to implement processes and programs that align with AAWL’s strategic priorities, including reducing length of stay for animals in our care and providing affordable, accessible care for underserved pet owners.
  • Strong familiarity with human health, community veterinary or human services agencies serving low-income and minority populations and understanding of and sensitivity to issues of concerns to low-income and minority communities.
  • Excellent oral and written communication skills and the ability to establish rapport quickly with persons of diverse backgrounds.
  • Experience developing and adhering to established policies, procedures, and protocols.
  • Ability to read, write and speak English and Spanish (preferred, not required).  
  • Experience/understanding of full-service shelter or veterinary operations (preferred, not required).
  • Proficient in computer applications, including Outlook, Excel, MS Office Suite, PowerPoint;
  • Proficient in PetPoint and HIPPO veterinary management software (preferred, not required).
  • Strong analytical, organizational, problem-solving, and conflict-resolution skills.
  • Ability to maintain confidentiality.
  • Ability to adapt to change and accept new duties within a fast-growing organization; and
  • Ability to work with diverse individuals within the organization and broader community.

 

PHYSICAL AND MENTAL DEMANDS

Requires prolonged sitting at a computer station with periodic standing and walking. Use of personal computer, phone, and general office equipment. May be required on occasion to help with animal handling, as necessary.  Will be exposed to disinfectant solutions and subject to bites and scratches while handling animals of questionable temperament. Requires normal range of hearing and eyesight to communicate with animals, the public, volunteers, and staff. Also requires flexibility to readily adapt to a fast-paced changing environment and the ability to work weekends and holidays. Must be comfortable handling dogs and cats on a regular basis.
