Job Summary: The Intake/ Pediatric Evaluations Coordinator is responsible for following up with all evaluators to confirm evaluations took place and reports and paperwork are submitted in a timely manner. The Intake/ Pediatric Evaluations Coordinator is responsible for prioritizing cases to meet deadlines and goals, and timely submission of packets. The Intake/Pediatric Evaluations Coordinator ensures that parents are receiving evaluation packets.

Essential Duties and Responsibilities:

  • Responsible for ensuring all evaluation scheduled dates, reports, and required documents are obtained in a timely manner for the LI Program
  • Responsible for following up and saving all NYC CPSE Evaluation Scheduled dates.
  • Conducts data entry and documentation for all activities within the life of the case.
  • Processes all received reports and documents for LI and NYC
  • Communicate with families, school districts, and counties regarding evaluation status.
  • Maintains good relationships with school districts, evaluators, counties, and DAs.
  • Works efficiently to meet departmental goals and compliance deadlines.
  • Utilizes various programs and databases to monitor responsibilities efficiently.
  • Follow up with families, school districts, and pediatrician's offices to obtain medical forms for LI and NYC
  • Assists with staffing received referrals as needed.
  • Provide coverage within the department as needed.
  • Reception Coverage as needed.
  • Referral Intake for NYC.
  • Other duties as assigned by the manager.

Requirements:

All candidates should meet the following qualifications:

  • Bachelor's Degree preferred.
  • 1-2 years of experience working in an office or related field preferred
  • Bilingual Spanish is required.
  • Must be able to communicate effectively.
  • Attention to detail to ensure the accuracy of information.
  • Must be able to multi-task under time constraints.
  • Strong typing skills
  • Knowledge of Microsoft Word Particularly Excel, Outlook, and Word
  • Excellent customer service skills

Physical Requirements of the Role:

  • Occasionally ascends/descends stairs going to, while at, or leaving work location or facilities traveled to for work events.
  • Must be able to remain in a stationary position for prolonged periods of time up to 90% of the workday working on a computer/electronic device.
  • The ability to observe details at close range (within a few feet of the observer).
  • The ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations.
